The Role in Practice: What You Will Be Doing

An Executive Virtual Assistant (EVA) is a remote professional who provides high-level administrative, strategic, and operational support to C-suite executives, founders, and entrepreneurs. Unlike general virtual assistants, Executive Virtual Assistant jobs focus exclusively on supporting senior leadership, managing complex calendars across time zones, coordinating stakeholder communications, and acting as a business partner.

Executive Virtual Assistants combine traditional EA skills with remote work expertise, technology proficiency, and autonomous decision-making capabilities.

What the Role Looks Like at DonnaPro

Executive Virtual Assistant jobs at DonnaPro aren't for everyone - and that's intentional.

If you're an A-player who gets frustrated watching things fall through the cracks, who already thinks three steps ahead, and who finds real satisfaction in making a brilliant person even more effective - you'll fit right in here.

Our EAs don't do basic admin. They orchestrate complex operations, own high-stakes communication, and make decisions independently so their executive can stay locked in on what actually moves the needle. Working remotely from their European base, our assistants take on the operational load that keeps a founder's week from disappearing into admin. The impact is measurable, and it is the part of the job most assistants say they find satisfying.

No hand-holding. No micromanagement. No drama.

Don't take our word for it - here's what some of our EAs actually think:

Saga, DonnaPro executive assistant
Being able to work with highly successful but very different individuals is such a fun and inspiring work style.

Guta, DonnaPro executive assistant
One of the things that surprised me the most is the amount of things I was able to learn in only one year, and how much I was able to grow professionally.
Guta · France · Donna since 2025
Tish, DonnaPro executive assistant
What surprised me most about working here is all the support I received from the get-go. DonnaPro really wants you to succeed.

Why Executive Virtual Assistants Earn 30-50% More

Executive Virtual Assistant jobs command premium compensation because they:

  • Handle higher-stakes work - EVAs manage schedules for leaders making million-euro decisions.
  • Require advanced judgment - You make calls on priorities, gate access to executives, and represent their voice - mistakes have serious consequences.
  • Support revenue-generating leaders - Your effectiveness directly impacts your executive's ability to close deals, scale operations, and drive growth.
  • Navigate complexity - You coordinate across multiple time zones, manage competing stakeholder demands, and handle confidential strategic information.
  • Bring business acumen - You understand P&L, fundraising, M&A processes, and strategic initiatives - not just administrative procedures.

According to Glassdoor's Executive Assistant salary data, traditional office-based EAs earn significantly less than remote Executive Virtual Assistant positions at agencies like DonnaPro. This premium reflects the strategic value EVAs provide to high-growth organizations.

The Executives You'll Support as an Executive Virtual Assistant

  • Portfolio Advisors & Investors: Executives coordinating across 5-10+ companies they advise or invest in. You'll manage complex scheduling across organizations and track action items from various board meetings.

Remote Work Reality: What Working as an Executive Virtual Assistant Actually Looks Like

Let's be real about what Executive Virtual Assistant jobs actually entail in practice - beyond the job description fluff. Remote Executive Virtual Assistant work at DonnaPro differs significantly from traditional office EA roles.

Your Actual Daily Schedule

Executive Virtual Assistant schedules at DonnaPro aren't one-size-fits-all. While core hours (09:00-15:00 CET) are when Executive Virtual Assistants need to be available for live client communication, how you structure your full 8-hour day depends on your working style, client preferences, and time zone realities.

  • Some EAs are morning people and start at 07:00 to have their executive's inbox pristine by 08:00. They finish by 15:00 and have afternoons free.
  • Some EAs are night owls and prefer working 12:00-20:00, handling deep work projects in the evening when interruptions are minimal.
  • Some EAs split their day around core hours - working 08:00-13:00, taking a long break, then finishing 16:00-19:00.

The non-negotiables are: 40 hours weekly, availability during core hours (09:00-15:00 CET), and actually disconnecting when your work device disables. Beyond that, structure your day in a way that works for you and your clients.

What Your Work Actually Looks Like (Regardless of Schedule)

Rather than prescribing an hour-by-hour schedule, here's what a typical EA workload includes:

  • Email Management (1-2 hours daily): Scanning 50-100 emails, responding to 10-15, flagging 5 for executive attention, archiving the rest. You're drafting responses that sound like your executive wrote them. Some clients want inbox zero by 08:00. Others want end-of-day cleanup by 17:00. You adapt to their preference.
  • Deep Work Blocks (2+ hours daily, protected time): Preparing board meeting agendas, compiling materials from multiple sources, building presentation decks, drafting strategic documents, researching competitive intelligence. This is uninterrupted focus time - no meetings, no notifications. When you take this block (morning vs afternoon) is flexible.
  • Calendar Orchestration & Stakeholder Coordination (1-2 hours daily): Managing last-minute schedule conflicts, finding meeting windows across 3+ time zones, rescheduling commitments when priorities shift, coordinating with board members, investors, and team leads. This is reactive work that happens throughout your availability window.
  • Project Coordination & Follow-ups (1-2 hours daily): Tracking 8-10 open initiatives your executive is involved in, sending status requests to project leads, updating master trackers, flagging at-risk items, coordinating across departments and companies. This requires context-switching between different projects and stakeholders.
  • Reactive Work & Communication (1-2 hours daily): Handling incoming requests, drafting correspondence, managing travel changes, coordinating with peer EAs, wrapping loose ends. This fills the gaps between scheduled work blocks.
  • Your Lunch Break (1 hour): Actually disconnect - we enforce this. Not working through lunch while pretending to take a break.
  • End of Your Workday (17:00 or your agreed end time): Work notifications literally stop. Your work device disables. You're done for the day.

Communication Patterns & Response Times

  • Email: You aim for inbox zero daily, but realistically handle 60-80 emails. Priority items get sub-1-hour response times. Routine matters are batched into 2-3 daily check-ins.
  • Slack/WhatsApp: You're available during core hours (09:00-15:00 CET) for quick questions. Outside those hours? System disabled. No guilt, no pressure.
  • Meetings: You attend a couple of meetings weekly - usually project check-ins, EA team syncs, or 1:1s with your Quality Manager. You're not in back-to-back Zoom calls all day.
  • Time Zones: You'll coordinate across CET/GMT/EST regularly. Most clients are Europe-based, so time zones are manageable. Occasional early or late call? Yes. Daily 6am starts? No.

Managing Multiple Executives (2-4 Typical)

  • Context Switching: You'll support 2-4 executives, which means maintaining separate systems, remembering different communication styles, and juggling competing priorities. It's mentally demanding but keeps work varied and interesting.
  • Client Load Balance: DonnaPro actively monitors your workload. If one client is consistently demanding 25+ hours while others need 5-10, we rebalance. You're never left to manage impossible expectations alone.

Work-Life Integration (Not Just Balance)

Remote work at DonnaPro isn't about "disconnecting" after exactly 8 hours - it's about structural protections that prevent boundary erosion:

  • Deep work blocks are protected by Account Managers, not just your willpower
  • 40-hour maximum is enforced through tracking and intervention, not honor system
  • Vacation is mandatory and actually respected - clients know and plan around it

According to DonnaPro's retention data, team members with these structural protections stay 3x longer than those in "always-on" cultures.

Skills You'll Master as an Executive Virtual Assistant

Executive Virtual Assistant jobs at DonnaPro accelerate your professional development faster than traditional corporate EA roles. Working as an Executive Virtual Assistant exposes you to high-level strategic work that traditional Executive Assistant positions rarely provide.

Strategic Thinking & Executive Communication

You'll learn to think like the executives you support - understanding not just what needs to be done, but why it matters strategically. You'll draft emails that capture your executive's voice, positioning, and priorities. You'll learn when to escalate issues versus handling them independently.

  • Real Example: After 3 months, you'll instinctively know which investor email requires immediate executive attention versus which you can acknowledge and schedule for next week's update call.

Complex Stakeholder Management

You'll become expert at managing competing demands from board members, investors, clients, and leadership teams - each with different priorities and communication styles. You'll learn to navigate organizational politics, build relationships with key players, and coordinate across multiple companies and time zones.

  • Real Example: You'll master the art of diplomatically declining a meeting request from a board member because you know your executive's Q4 priorities require heads-down focus time.

Advanced Project Coordination

You'll own strategic initiatives from conception to completion - coordinating across departments, tracking dependencies, managing timelines, and keeping executives informed without overwhelming them. You'll build systems that scale as companies grow.

  • Real Example: You'll successfully coordinate a 3-day executive offsite involving 12 C-suite leaders across 4 countries, managing logistics, agenda building, pre-work distribution, and follow-up action tracking.

Crisis Management & Problem-Solving Under Pressure

You'll develop the judgment and composure to handle last-minute travel changes, scheduling conflicts, urgent client issues, and high-pressure situations without breaking a sweat. You'll learn to triage effectively and make sound decisions when there's no time to consult your executive.

  • Real Example: When your executive's flight gets cancelled 2 hours before a critical investor meeting, you'll have rebooking options, backup video call coordinates, and agenda adjustments communicated to all parties before they even know there's a problem.

Systems Thinking & Process Design

You'll build workflows, SOPs, and organizational systems that prevent chaos and create leverage for busy leaders. You'll identify inefficiencies and design solutions that scale as teams and complexity grow.

  • Real Example: You'll design a board meeting preparation workflow that reduces prep time from 8 hours to 3 hours while improving material quality and stakeholder satisfaction.

According to DonnaPro's placement data, our EAs learn more in 6 months than most professionals learn in 3 years. Why? Because you're working directly with ambitious leaders tackling complex challenges daily - your learning curve is steep by design. The International Association of Administrative Professionals recognizes that Executive Virtual Assistants require advanced strategic thinking beyond traditional administrative skills.

What You'll Get as a DonnaPro Executive Virtual Assistant

Transparent, Fair Compensation

We analyzed Executive Virtual Assistant salaries across 13 European countries and found that market rates consistently undervalue Executive Virtual Assistant expertise. DonnaPro's Executive Virtual Assistant jobs pay 15-46% above market rates for comparable Executive Assistant positions.

But here's what really sets us apart: Unlike most EA agencies that pay per client or commission, DonnaPro pays a guaranteed monthly salary from day one.

Why this matters:

Most traditional VA and EA agencies operate on per-client payment models, which creates instability:

  • No income during onboarding while learning systems
  • Severely underpaid with only 1-2 clients as you build your workload
  • Income tied to factors outside your control (sales cycles, client churn)
  • Constant financial stress piecing together enough hours to make a living wage

DonnaPro's approach is different:

From day one, you receive a full monthly salary - whether you're supporting 0, 1, or 2 executives. We invest in you first, before you generate profit for the company. Your income doesn't fluctuate based on sales cycles or client changes.

This stability lets you focus on what matters: doing exceptional work, developing your skills, and building sustainable client relationships without financial anxiety.

FAQs About This Position

How many clients will I support?

Most EAs support 2-4 executives, allowing you to deeply understand each business while maintaining variety. We never overload you with 6-8 clients - that's how people burn out. Your client load is adjusted based on client complexity and your capacity. If one client consistently demands 25+ hours while others need 5-10, we rebalance.

Is this really remote?

100% remote from your EU location. No office, no commute, complete flexibility within core hours (09:00-15:00 CET). You can work from home, cafes, coworking spaces, or anywhere with stable internet and a quiet space for video calls. Some team members work from their apartments in Warsaw. Others work from their parents' house in rural Portugal while saving money. Your location within the EU is your choice.

What if I don't have EA experience?

We primarily hire experienced professionals with 3+ years of executive support experience. However, exceptional candidates with strong transferable skills are considered if they demonstrate standout performance. If you're an outlier with relevant skills - project management, executive communication, complex coordination - apply and prove it through the demo tasks. We've hired career changers who've excelled, but they had to show exceptional capability during the assessment process.

Why the salary differences by country?

We pay at least 15% above each country's average to ensure fairness. Everyone is a top performer in their local market. Salary varies by country due to cost of living and local market rates - €1,650 in Poland provides similar purchasing power to €1,800 in Italy. This ensures fairness while respecting local economic contexts. Everyone earns well above their country's average for EA work.

What does "radical ownership" mean?

No excuses, no finger-pointing. When something is yours, you handle it completely. When things go wrong, you fix them and learn rather than blaming circumstances or other people. It's about being powerful rather than being a victim. You ask "What could I have done differently?" instead of "Why did this happen to me?" This doesn't mean being a doormat - it means taking control of outcomes.

Can I work part-time?

No. This is a full-time commitment (40 hours/week). Our clients need consistent, dedicated support, and our burnout prevention systems are designed around full-time structures with protected boundaries. Part-time EA work creates unsustainable pressure to compress full-time responsibilities into fewer hours. We've found that part-time arrangements lead to burnout and poor client outcomes.

What industries are the clients in?

Primarily technology, SaaS, e-commerce, fintech - innovative, fast-growth sectors. You'll support founders and CEOs who are building companies, raising capital, scaling operations, and navigating high-growth challenges. Occasionally clients are in consulting, professional services, or portfolio management. What they share: ambition, growth focus, and need for high-level executive support.

What makes DonnaPro different?

We're A-players supporting A-players. 91% client retention (vs. 60-70% industry average), 4.8/5 Google rating, and a no-BS culture focused on excellence. Unlike other VA agencies that operate like gig marketplaces, we're a career destination with structural burnout prevention, above-market pay, comprehensive support systems, and genuine career growth. We reject 97% of applicants to maintain quality. We're selective about who we hire and who we work with.

What happens after I apply?

We review every application personally. If you're a fit, you'll hear within 7 working days about next steps, including demo tasks and interviews. If you don't hear from us within 7 working days, it means we're moving forward with other candidates whose experience better matches our current client needs. Our process typically takes 2-4 weeks from application to offer.

Do I need other languages besides English?

Fluent English (C2 level) is mandatory - all client communication happens in English. Additional languages (German, French, Spanish, Italian) are a bonus but not required. Most of our clients are international, so English is the working language. If you speak other European languages, mention it in your application - some clients value multilingual support.

Can I work with clients in my industry?

We match based on personality fit, working style, and skill alignment rather than industry preference. That said, we take your preferences into account during placement. If you have deep experience in a specific sector and prefer staying in that domain, let us know. However, many of our best EAs thrive precisely because they work across different industries and learn rapidly.

What if my workload becomes overwhelming?

We have systems to prevent this. Your Quality Manager actively monitors for overwork signals. If you're consistently hitting 40+ hours, that's a system failure we fix - not a personal discipline issue. We adjust client loads, set expectations with clients, and intervene before burnout happens. You're not expected to "manage up" or negotiate boundaries alone - that's what Account Managers handle.
